For tasks that involve making decisions, obviously very small decisions can be made by individuals or working groups but for larger ones the task involves enabling the wider group to come to a consensus

Registration Process

  • Task: Provide a method for people to sign up for the event online.

Food

  • Task: ensure food is provided for the requisite number of people
  • Previous methods: I think food was provided one year by Highbury Farm and one year by a different catering company. Food was free/included in ticket

Booze

  • Task: Provide booze
  • Previous methods: Barrels of cider and beer were acquired and sold per pint/half in plastic glasses. Volunteers did the serving & took money. A till was brought on site, not sure where from.

  • Task: Providing equipment and skills to set up on site network

Programme

  • Task: Planning (however loosely) the programme and enabling people to submit talk/workshop proposals
  • Previous methods: A few hour-long slots per day in each space dedicated to talks/workshops. Proposals were sent in on the mailing list and I think they were all accepted. Some time was also set aside for short talks, which were proposed at the time

Roles

  • Task: Decide what roles will be required at the event and have a plan for them to be filled
  • Previous methods: IIRC there was a Production Manager each day, for general co-ordination, and also a manager of each space, ensuring that things started on time and that workshops etc had the equipment they needed. Also welcomers at the desk ... probably more
  • Volunteers: Naomi
  • Comments: I think it might be worth having more than one person in a welfare/conflict resolution type role. Not sure if this has been a role before. Obviously hope won't be needed but worth assigning just in case.

Entertainment

  • Task: organise music, performances, fun things
